From an active Account Screen, a user who has the LETTER_SEND Permission Role can select Letter Actions to:
View Letters
This drop-down option will show a list of letters that can be viewed including:
- Letters that have been printed
- Letters that have been scheduled for a past send date
- Letters that have been scheduled to send for a future date
Send a Letter
Letter Profiles created with the LETTER_SEND "Send Role ID" and one or more Letter Vendors selected will be available from this drop-down
- Once an available letter is selected, the user needs to select an
- Output Vendor (pdf, OpenOffice, etc.),
- a date (today or future),
- then
- the "Print" button to download the letter to their computer and print it at their discretion
- or the "Send" button to send the letter to Work Flow - Scheduled Letters
- To print scheduled letters (anything scheduled up to today's date), the admin or other user with job permissions can run the Letter Export Job "On Demand" or that job can be put on a schedule
- The Exported Letters will be removed from the Scheduled Letters list and added to a zip file available for download and print in Utilities - Manage Files
- To see files (zip files, documents, etc.) stored in the Manage Files Queue, a date must be entered into the Last Update field -- the date must be more recent than the date the file was generated
Start a Letter Series
A Letter Series can be created to schedule a set of letters that will be sent based on a Triggered Action Path
- For example, when account debt is loaded
- a first letter can be scheduled to be sent immediately or at a later date
- subsequent letters (a second letter, a third letter, etc.) can be scheduled to be sent x number of days after the initial letter is sent
- There are Triggered Action Paths that can stop letter series, for example typically, an agency may want remaining scheduled letters removed stopped if:
- The account is paid in full
- The account is cancelled
- The account holder is some types of bankruptcy
Stop Letters
This is a manual selection to stop any scheduled letters or letter series on a single account
- Stop ALL Bundle Letters
- This is a manual selection to stop any scheduled bundle letters related to this account
