It uses AI to extract account information, map data to ACE fields, and identify missing information or potential duplicate accounts before account creation. Rainmaker Intake supports PDF, TIFF, Word, Excel, and ZIP files containing multiple document types. Users can configure reusable profiles for different client document formats, process uploads in the background, and review extracted information before approving accounts. The process consists of three main stages: 1. **Configure a Profile:** Analyze sample documents and create reusable extraction rules and field mappings. 2. **Upload Documents:** Process client assignment documents using a configured profile and monitor upload progress. 3. **Review and Approve:** Verify extracted information, correct errors, and approve records to create accounts in ACE. To access Rainmaker Intake, go to **Accounts → Rainmaker Intake**. ![](https://cdn.document360.io/6c7303ca-5ffc-4149-8868-8ea498eee635/Images/Documentation/Rainmaker Intake Menu 2.png?sv=2026-02-06&spr=https&st=2026-10-27T09%3A52%3A07Z&se=2026-10-27T10%3A52%3A07Z&sr=c&sp=r&sig=jqvI2baIeUT0gc0%2Fqm9oW%2FKEFTvSwICAWVjKXYvjruw%3D) Image displays Rainmaker Intake menu options. ### Rainmaker Intake Screens Rainmaker Intake includes three main screens for managing document processing and account creation. | Screen | Description | | --- | --- | | Profiles | Create and manage profiles that define how document information is extracted and mapped to ACE fields. | | Upload Documents | Upload client assignment documents, process files, and monitor upload jobs. | | Review Queue | Review extracted account information, correct errors, and approve records for account creation. | ## Stage 1: Configure a Profile Before processing client assignment documents, create a Rainmaker Intake Profile to define how information is extracted and mapped to ACE fields. Profiles store document extraction rules, field mappings, and extraction instructions. Once configured, a profile can be reused to process documents that follow the same format. ### Create a Profile 1. Navigate to **Accounts → Rainmaker Intake → Profiles**. 2. Click **New**. 3. Enter a **Profile Label** to identify the profile. 4. Select the **Client** associated with the assignment documents. 5. Complete the **Setup Wizard** to configure document extraction and field mappings. ![](https://cdn.document360.io/6c7303ca-5ffc-4149-8868-8ea498eee635/Images/Documentation/Rainmaker New Profile Setup Wizard.png?sv=2026-02-06&spr=https&st=2026-10-27T09%3A52%3A07Z&se=2026-10-27T10%3A52%3A07Z&sr=c&sp=r&sig=jqvI2baIeUT0gc0%2Fqm9oW%2FKEFTvSwICAWVjKXYvjruw%3D) Image displays New Rainmaker Intake Profile page with Profile fields and Setup Wizard ### Complete the Setup Wizard The Setup Wizard guides users through four steps: | Step | Description | | --- | --- | | 1. Add samples | Upload representative documents for Rainmaker Intake to analyze. | | 2. Review draft | Review the proposed extraction configuration and clarify missing or conflicting information. | | 3. Map fields | Review extracted source fields and map them to the corresponding ACE fields. | | 4. Done | Complete the configuration and save the profile. | #### Step 1: Add Samples 1. In the **Sample documents** section, drag files into the upload area or select **Drop files here** to browse for files. 2. Add representative documents that match the client's assignment format. 3. Verify that the selected files appear in the sample document list. 4. Select **Analyze Sample Layout**. Rainmaker Intake analyzes the sample documents and generates a draft extraction configuration. Supported sample formats include PDF, TIFF, Word, Excel, and ZIP files. > **Please Note:** Sample documents are used to configure the profile. Enter an answer describing how the information should be interpreted, or select **Ignore it** if the field is unnecessary or does not have an appropriate ACE destination. 5. Continue until all unresolved questions have been addressed. 6. Select **Apply Mappings to Profile**. 7. Return to **Extraction Rules** and verify that the unresolved questions have been cleared. > **Please Note:** Answers should describe reusable extraction rules rather than values specific to the sample documents. ![](https://cdn.document360.io/6c7303ca-5ffc-4149-8868-8ea498eee635/Images/Documentation/SetupWizard Map Fields Extraction Question2.png?sv=2026-02-06&spr=https&st=2026-10-27T09%3A52%3A07Z&se=2026-10-27T10%3A52%3A07Z&sr=c&sp=r&sig=jqvI2baIeUT0gc0%2Fqm9oW%2FKEFTvSwICAWVjKXYvjruw%3D) Image 2: Setup Wizard → Map Fields Extraction Questions. **Confirm Reusable Field Mappings** After reviewing the extraction questions, confirm how the source document fields map to ACE. The mapping table includes: | Column | Description | | --- | --- | | Source Label | Field identified in the source document. | | ACE Target Fields | ACE fields where extracted values will be stored. | | Sample Value | Example value extracted from the sample document. | | Confidence | Analysis confidence associated with the suggested mapping. | | Evidence | Information identifying where the source value was found. | To configure field mappings: 1. Locate a source label in the mapping table. 2. Select **Choose fields** under **ACE Target Fields**. 3. Search for the corresponding ACE field. 4. Select the appropriate field. 5. Repeat for the remaining source labels. 6. Review the mapping count to confirm that required fields have been mapped. 7. Select **Apply Mappings to Profile**. For example: | Source Label | ACE Target Field | | --- | --- | | Client Number | Debt Information / Client Code | | Account Number | Debt Information / Client Account # | > [!NOTE] > Please Note > > - Answering extraction questions does not automatically assign ACE target fields. > - Source labels without a selected ACE target are marked **Ignored**. > - Review duplicate source fields to avoid mapping conflicting information to the same ACE field. > - Verify that required account and consumer information is mapped before applying the configuration. ![](https://cdn.document360.io/6c7303ca-5ffc-4149-8868-8ea498eee635/Images/Documentation/RI Reusable Field Mappings.png?sv=2026-02-06&spr=https&st=2026-10-27T09%3A52%3A07Z&se=2026-10-27T10%3A52%3A07Z&sr=c&sp=r&sig=jqvI2baIeUT0gc0%2Fqm9oW%2FKEFTvSwICAWVjKXYvjruw%3D) Image displays Source Labels, ACE Target Fields, Sample Values, and Mapping Confidence. #### Step 4: Done After applying the field mappings, review the generated **Extraction Rules** before saving the profile. Confirm that: - The document shape matches the source documents. - Required source fields are mapped to the correct ACE fields. - Extraction instructions accurately describe the document layout. - All required extraction questions have been resolved. If unresolved questions remain, Rainmaker Intake displays a warning in the Extraction Rules section. To resolve the warning: 1. Return to **Map fields**. 2. Review and answer the remaining questions. 3. Correct any incomplete field mappings. 4. Select **Apply Mappings to Profile**. 5. Return to **Extraction Rules** and verify that the warning is cleared. When the configuration is complete, click **Save**. The profile is now available for processing documents that follow the configured format. > **Please Note:** Saving a profile does not create accounts in ACE. Documents must be uploaded separately for processing. ## Stage 2: Upload Documents After configuring a profile, upload client assignment documents for processing. Rainmaker Intake uses the selected profile to extract account information and apply the configured field mappings. ### Upload Documents for Processing 1. Navigate to **Accounts → Rainmaker Intake → Upload Documents**. 2. Click **Upload Documents**. 3. Select the configured Rainmaker Intake Profile. 4. Click **Choose File** or use the available file upload area. 5. Select the documents to process. 6. Enter a description, if needed. 7. Click **Upload**. Rainmaker Intake processes the uploaded documents using the selected profile. Documents may be processed in the background, allowing users to continue working in ACE while processing completes. ### Monitor Upload Progress Use the upload job information to monitor processing progress and review the results. After processing completes, the extracted account information becomes available in the Review Queue. > **Please Note:** Upload documents that match the format used to configure the selected profile. Different document layouts may require a separate profile or updated extraction rules. ![](https://cdn.document360.io/6c7303ca-5ffc-4149-8868-8ea498eee635/Images/Documentation/Rainmaker Upload Documents Page 2.png?sv=2026-02-06&spr=https&st=2026-10-27T09%3A52%3A07Z&se=2026-10-27T10%3A52%3A07Z&sr=c&sp=r&sig=jqvI2baIeUT0gc0%2Fqm9oW%2FKEFTvSwICAWVjKXYvjruw%3D) Image displays Rainmaker Upload Documents page. ## Stage 3: Review and Approve After documents are processed, use the Review Queue to verify extracted account information before creating accounts in ACE. ### Review Extracted Information 1. Navigate to **Accounts → Rainmaker Intake → Review Queue**. 2. Locate the processed records. 3. Open a record to review the extracted account information. 4. Verify the account identifiers, consumer information, dates, and balances. 5. Correct any missing or inaccurate information. 6. Save the changes, if applicable. ### Approve, Reject, or Requeue Records After reviewing the extracted information, select the appropriate action. | Action | Description | | --- | --- | | Approve | Approves the extracted record for account creation in ACE. | | Reject | Rejects the extracted record. | | Requeue | Returns the record for additional processing. | The Review Queue also supports selecting multiple records to perform available actions in bulk. Only approved records are used to create accounts in ACE. ![](https://cdn.document360.io/6c7303ca-5ffc-4149-8868-8ea498eee635/Images/Documentation/RI Review and Approve Queue.png?sv=2026-02-06&spr=https&st=2026-10-27T09%3A52%3A07Z&se=2026-10-27T10%3A52%3A07Z&sr=c&sp=r&sig=jqvI2baIeUT0gc0%2Fqm9oW%2FKEFTvSwICAWVjKXYvjruw%3D) *Image displays Review and Approval of Extracted Account Information in the Rainmaker Intake Review Queue* ### Verify Account Creation After the record has been approved and account creation has completed: 1. Navigate to the ACE account search. 2. Search using the Client Account Number or another available account identifier. 3. Open the account. 4. Verify that the account information matches the approved record. > **Please Note:** If the account cannot be located, confirm that the record was approved and account creation completed successfully. Creating a profile or uploading documents alone does not create an account. ## Troubleshooting | Issue | Recommended Action | | --- | --- | | Unresolved questions prevent saving the profile. | Return to Map fields, resolve the questions, and select Apply Mappings to Profile. | | Source fields are marked Ignored. | Select Choose fields and assign the appropriate ACE target fields, if needed. | | Required fields are not mapped. | Review the reusable field mappings and select the correct ACE destinations. | | Extracted information is incorrect. | Review the source documents, correct the extracted information, and update the profile if recurring issues are identified. | | Uploaded documents do not process as expected. | Verify that the documents match the configured profile and supported upload format. | | Account does not appear in ACE. | Confirm that the record was approved and account creation completed successfully. | ## Best Practices - Create separate profiles for clients or document formats that require different extraction rules. - Use representative sample documents containing complete account information. - Review the suggested configuration before applying field mappings. - Answer extraction questions with reusable rules rather than sample-specific values. - Verify that required source fields are mapped to the correct ACE fields. - Ignore source fields only when they are unnecessary or do not have an appropriate destination. - Resolve outstanding extraction questions before saving the profile. - Test a small number of documents before processing larger batches. - Review extracted information and potential duplicate accounts before approval. - Update profiles when client document formats or extraction requirements change.
