Introduction

The ACE responsible party feature is used when there is a need to collect separately on two or more consumers that owe the same debt.

Adding Responsible Party Accounts through an ETL Loader

Responsible party accounts can be loaded through the account ETL loader. It is important to remember that when loading responsible party accounts that the RP Identifier, client account number and assigned balances should match on all of the accounts that will be linked together.

Adding Responsible Party Accounts Manually

To create a responsible party account and link it to another responsible party account you must have a matching unique RP Identifier. This number needs to be added to all accounts that share the same debt. 

Example:

Account 1

  1. Client account # = 6789
  2. RP Identifier = 6789-20200311 (This is where you will enter the RP Identifier. The identifier will be the same for all accounts that will share the debt. It is important to use a unique number.)
  3. Principle Assigned = 600.00
  4. Primary Name = Tim Tester
  5. Primary Address = 123 4th Street
  6. Primary City = Vancouver
  7. Primary State = WA
  8. Primary Zip = 98684

 Account 2

  1. Client account # = 6789
  2. RP Identifier = 6789-20200311 (This is where you will use the same RP Identifier number as you did for the last account to link the two accounts together.)
  3. Sam Sample
  4. Principle Assigned  = 600.00
  5. Primary Name = Sam Sample
  6. Primary Address = 456 W. Andreson
  7. Primary City = Vancouver
  8. Primary State = WA
  9. Primary Zip = 98664

Once the responsible party accounts have been added or linked in ACE you will see them in the “Responsible Parties” section. You can click on either account to take you to that account’s page.

Posting Payments/Adjustments on Responsible Party Accounts

When a payment is taken on a responsible party account it will lower the balance for all accounts that belong to the responsible party bundle. Only the original account where the payment was posted will show the payment transaction. The other account(s) will show an adjustment.

Linking Responsible Party Accounts

You can link/merge accounts into a responsible party bundle after they have been entered into ACE. You do this by going to the “Responsible Parties” section and clicking “New” and then adding the agency account number of the account you would like to merge, BUT beware.. by doing this the account that is being merged will lose all of the original transaction amounts to match the amount on the account that you are merging it with. If this is done in error there is no way to reverse this process.

Responsible Party Accounts and Bundles

Responsible party accounts can also be bundled with other accounts. Not all of the linked responsible party accounts will be bundled in the account bundle only the account that qualifies to be part of that bundle.
