Worklist Management: Adding, Automating, and Handling Accounts

This article covers tasks like adding accounts to worklists,  worklist action path actions, and handling restricted accounts.

Building a Worklist:

Logic Blocks

  1. Access the worklist and navigate to the Build Options section

  2. Click on the dial icon next to the Selection Logic field

  3. Create a new logic condition in the opened Logic Block window

  4. Enter Label

  5. Description

  6. Return Primary Account Only: check if yes/leave blank if no

  7. Add Field: specify the logic and conditions to be applied to the accounts

  8. Click Apply

  9. Click Test: review your logic block and make any necessary changes

  10. Click Save when you are satisfied with the Logic Block

Applying Selection Logic:

  1. Select your new logic in the Selection Logic dropdown menu

  2. Click Apply and then click Build Now

If errors occur, ensure changes are applied before attempting to build.

Running the Build Worklists Job:

  1. Navigate to Utilities-Jobs

  2. Find and select the Build Worklist Now job

  3. Click Run to initiate the worklist building process


Manually Adding Accounts to Worklists:

From Account Screen:

  1. Choose a worklist from the Send to Worklist dropdown in the "Notate Account" section

  2. Left-click Send and verify the "Next Work Date" is correct

Mass Manual Addition - Account Manager:

  1. Select or create selection logic from the dropdown

  2. Choose a worklist from the "Add Action" dropdown

  3. Select a worklist and click Process

Automatic Addition - Triggered via Action Path:

Utilize Triggers, Action Paths, and Jobs to automate worklist population.


Worklist Action Path Actions:

Action path actions enable highly specific automation in worklist management, providing a more precise approach to handling tasks efficiently.

  • Worklist Add: Send an account to specified worklists, with an option to specify a default next work date.

  • Worklist Move to Primary Agent: Removing accounts from non-storage/review worklists and adding them to the worklist associated with the account’s current primary agent.

  • Worklist Remove and Remove All: Remove accounts from specific worklists or remove them from all worklists for comprehensive management.

  • Worklists Round Robin: Distribute accounts in a round-robin fashion among specified worklists.

  • Worklists Synchronize with Primary Bundle Member: For bundle members, this action enables synchronization with the worklists from the bundle master, maintaining consistency.

  • Back to Worklist

  • If Debt in Worklist

  • Set Account Next Work Date

Caution:

Exercise extreme care when creating Action Paths to be applied to your workflow, as they have the potential to cause significant issues if not properly configured or executed.

Restricted Accounts in Worklists

By default, accounts restricted due to Compliance Page settings won't appear in the worklist for processing. To work with restricted accounts, ensure the 'Work Restricted Accounts' checkbox is selected.

Restricted Account workflow: 

Generate a list of restricted accounts using a logic block. Apply this logic to a worklist by selecting 'Work Restricted Accounts' from the field options.
