    Itemization (Transaction) Mapping

    • PDF

    Article summary

Itemization mapping determines the destination validation field for a value, regardless of its origin as an itemization transaction or an account transaction. The mapping defines which specific field within the validation notice will contain the value.

    ACE Definitions

    • Validation Data = data represented in fields on the Validation Notice
    • Itemization Date = This represents the date associated with the Balance as of Itemization Date
    • Itemization Transactions = represent owing and received adjustments the client applied to the account between the itemization date and the assignment date
    • Account Transactions = Transactions entered or loaded to the account, not identified as "Assigned" transactions which are expected to show up in validation data

    Validation Notice Fields

Itemization Transactions and Account Transactions are represented in validation data in one of the three following fields used for the Validation Notice:

    • plus Interest
    • plus Fees
    • minus Payments and Credits

    Itemization Fields

In ACE, the "plus Interest," "plus Fees," and "minus Payments and Credits" fields are populated based on data from two different sources:

    1. Transactions entered/loaded directly to the Itemization Transactions section of the Itemization page: These transactions are not applied to the account because, according to compliance guidelines, they are expected to have occurred before the account was assigned for collections.

    2. Transactions or adjustments entered/loaded directly to the Account Transactions: These transactions typically occur after the account was assigned. However, they may also include assigned-type transactions associated with data that would have occurred before the account was assigned. These transactions are not expected to be identified as itemization transactions.

    Modifying Itemization Mapping

    1. Go to Setup-Compliance-Itemization Mapping
    2. You will see a list of all available buckets and transaction types.
    3. Each transaction type can be mapped to one of the four validation fields: Fees, Credits, Payments, or Interest.

    By default:

    1. positive interest transactions (itemization transactions or account transactions) will be applied to the "plus Interest" field and
    2. negative interest transactions will be applied to the "minus Payments and Credits" field.

Adjustments for Cancelled or Reactivated Accounts

By default, adjustment transactions associated with cancelled or reactivated accounts are included in validation field values. However, there is an option available below Itemization Mapping to exclude these cancel and reactivate transactions.

    Manual Itemization Transactions

When entering manual itemization transactions, it will be clear which itemization field the transaction will be evaluated in before saving or applying it.

    Modifying default Itemization Mapping
Any alteration of default Itemization Mapping is applied globally in your ACE application at the account level and can be expected to have an impact on the way Itemization Data is presented on your Validation Notices or other letters. Most customers do not need to alter default itemization mapping.
