    New Features

    Worklist overhaul!

    The worklist system within ACE has been extensively overhauled and boasts many exciting new features:

    • Accounts Can Now Belong to Multiple Worklists
    • Several new worklist types
    • Static/Dynamic Worklist Work order
    • Miscellaneous additions 
    • Automation for worklist building 
    • Modify worklist functionality
    • Several account level worklist changes
    • New/updated worklist related action paths

    Custom form fields

    Character limit:

    Custom form identifiers and labels have had a 64 character limit set. Labels longer than 64 characters will no longer be allowed.

     

    Custom Form Field Hints:

    When creating a custom form field, it is possible to create your own hints. Anything entered into the tooltip field will appear when you hover over the green question mark located next to the form field description:

    Dialers

    TCN Adaptive Outgoing Phone Number:

    It is now possible to change the phone number a debtor sees when receiving a call via TCN dialer. The number can be set at the client level and will change depending on the client the debtor receiving the call belongs to. This feature requires coordination with TCN to set up, please contact TCN for details.

    Letters

    Letter Vendors - New Table Available:

    All fields within the Master Client table are now available for reference via the letter vendor profile.

    User Authentication

    User Instances limiting:

    Each user logged into an ACE application can have up to four windows of the application open at one time, now when a user attempts to open a 5th instance the system will automatically log out the oldest instance instead of preventing the new account from logging in. 

     

    Force Closing a User Session:

    By navigating to the Current User Sessions report (reports>users>current user sessions), you can force close a users session by clicking the red X next to their session:

    SCIM support:

    Our enterprise level customers can now make use of Cross domain Identity Management, this allows an authorized external system to add/remove users or update user roles using the SCIM standard. SCIM integration allows for centralized management of user access for your organization. 

    Credit Reporting

    Reporter Name Override: 

    Within the credit reporting vendor profile (setup>vendors>credit reporting), it is now possible to customize header information within the METRO2 file. The header information was previously fixed. This is particularly useful for customers who credit report from multiple companies:

    If any information is entered in the highlighted reporter fields that information will replace the default information taken from your ACE company profile page within the generated METRO 2 file. 

    Account View

    Changing Demographic type:

    A new button has been added to the account demographic page that forces the demographic you are viewing to become the primary demographic. The previous primary demographic will inherit the new primary's previous type.

    Judgement Adjustment Improvement:

    When applying an adjustment to a judgement account, ACE now provides you with the option of carrying the same adjustment over to the original accounts

    Worklist Improvements!

     

    Multiple Worklists:

    Accounts can now belong to multiple worklists, allowing for more advanced workflow and improved organization of accounts. For worklists that already exist, this option is disabled by default. To enable multiple worklists uncheck the ‘exclusive’ checkbox on the worklist page:

     

    New worklist types: 

    There are now four different worklist types, each defined below:

     

    Pool: Worklists of type pool are designed to be worked by multiple agents at a time. Any user added to the worklist will have the ability to work accounts from this worklist.

     

    User: This worklist is specific to a single user. No other user will be able to view the worklist (excluding admins).

     

    Storage: The storage worklist is not meant to be actively worked and has no ability to assign users. This classification is meant to be a storage place for accounts you do not wish to be worked.

     

    Review: Accounts assigned to a review worklist do not have their worked date updated by the review worklist user if they make changes to an account, this allows for admins to make adjustments when necessary and not interrupt the accounts workflow.

     

    Static/Dynamic Worklist Work order:

    Worklists work order is determined by fields set within the ‘sort field’ form, the specified criteria will determine what accounts move to the top of the list and get worked first. Worklists can be specified as static or dynamic:

     

    Dynamic: This is the traditional sorting order. The worklist will constantly update according to the criteria specified in the sort field form. In this mode, the worklist is always sorted first by assigned date followed by any criteria that might be specified by the user. 

     

    It is possible to set a max limit for the next work date on dynamic worklists. When an account's next workdate exceeds the set limit it will be greyed out and hidden when viewing the list of accounts in the worklist. 

     

    Static: When a worklist is set to static work order, the order will never change unless the worklist is rebuilt(covered later). Changing a value on an account will never change its placement in the worklist automatically. When a worklist is set to static it can be manually adjusted via the ‘modify worklist’ menu. 

    Miscellaneous additions

    Work required: If enabled, the work required checkbox will require an account to have work done before the user can move to the next account in the worklist (call made, payment posted, etc). 

     

    Work bundle: If checked, work bundle will mark every bundle member as worked when any bundled account has work done and saved. This is to prevent multiple calls to the same debtor in a day due to different bundle members coming up in worklists.

     

    Group: Worklists now have a field allowing the user to specify a group identifier for that worklist:

    The group identifier allows the worklist to be used in SQL or logic blocks, if you call the set identifier with logic it will return all the accounts that are a member of that worklist:

    Time Range Start/End: It is now possible to set a time range to determine when a worklist is accessible by its users. While outside the time range the worklist will not be visible to its users. If an account is outside of the workable hours at the worklist or account level, that account will be greyed out in the worklist view/modify windows.

    Bundle propagation: It is now possible to enable propagation of worklists from the bundle primary to the bundle members via the setup>accounts>bundling menu.

    Building worklists:

     Worklists now have an internal component to assist with populating worklists with accounts:

     This section allows you to specify a logic block that will be used to populate the worklist with accounts if they meet the logic criteria. It is also possible to specify an action path to be applied to every account being added to the worklist. This feature does not prevent worklists from being populated via other means.

     

    Build interval: The build interval determines how often the build process is run to populate the worklist with new accounts. This field can be set to daily/weekly/monthly or None, if none is specified the worklist will only be built when the ‘build now’ button is pressed.

     

    Clear on Build: Checking this box means all accounts will be dropped from the worklist whenever a rebuild is initiated. 

     

    Selection logic: This is where you can specify the logic used to select the accounts that will go into the worklist when it is built.

     

    Flow Action ID: If you have a specific action path that you want applied to every account added to the worklist via building you can select it here. 

     

    Modify worklist functionality:

    Under the overview form, you can access the manual view/modify options for the worklist; this feature can be used on worklists set to static type.

    The modify functionality gives you considerable control over the accounts within the worklist, you can apply actions to multiple accounts by checking their associated boxes and choosing an option from the ‘apply action’ or ‘move to worklist’ options:

    It is also possible to change the order of accounts in the worklist by dragging and dropping accounts within the list or right clicking on an account and directly applying an action:

    Account level worklist changes:

    At the account level under the notate account form there is a new field to handle the display of multiple worklists associated with the account. The worklists the account is a member of are shown in grey boxes, if you click within the box containing the worklists a drop down menu will appear allowing you to add additional worklists.

     

    Selecting worklists:

    Result:

    Clicking the small grey ‘X’ in each worklists name will remove the account from the worklist. 

    If you add an exclusive worklist through this method it will remove the account from all other worklists.

     

    Worklist action path action changes:

    Several new worklist related action path actions have been added, these options allow for more precise automation of worklist management. The new actions are:

     

    Worklist Add: send an account to all specified worklists, you can also specify a default next workdate.

     

    Worklist move to Primary Agent: Removes all non storage/review worklists and adds the account to the worklist associated with the accounts current primary agent.

     

    Worklist Remove: If the account is a member of the specified worklists it will remove it from those worklists.

     

    Worklist Remove all: Removes the account from ALL worklists.

     

    Worklists Round Robin: Performs a round robin distribution to the specified worklists.

     

    Worklists Synchronize with Primary Bundle Member:  If the account is a bundle member, this action removes all non storage/review worklists and duplicates the worklists from the bundle master.

    Making Things Right

    - Fixed a duplicate form error that could occur when loading data to custom forms via ETL.

    - Fixed an issue where API keys were unvalidated in some cases.

    - Fixed an issue that would cause the same action code to apply multiple times.

    - Fixed an issue with date time field formats when loading via ETL.

    - Fixed an I/O error that would sometimes occur when running a report.

    - Fixed an error causing manually entered commission rates to zero out.

    - Fixed a bug preventing logic blocks from accessing some legal fields.

    - Fixed a bug preventing the deceased field from appearing correctly within the account summary.
