Creating Client Profiles

This article explains how to create a Client Profile in ACE and provides an overview of the available configuration options.

How to Access Client Profiles

  1. Navigate to Clients.

  2. Select Profiles.

  3. Click New to create a new Client Profile.

  4. To edit an existing Client Profile, select the profile from the list.

Information

  1. Locate the Information section.

  2. Enter the client information. Required fields may vary depending on your configuration.

Information Fields

Field

Description

Company Name

Name of the client.

DBA

Doing Business As name for the client.

Client Code

Unique identifier assigned to the client.

Address

Client mailing address.

Phone Number

Primary phone number for the client.

Fax #

Client fax number.

Email Address

Primary email address for the client.

Judgment

Indicates whether the client primarily places judgment accounts.

Primary Client

Parent client associated with this client, if applicable.

Monthly Goal

Monthly collection goal for the client.

Classification

Identifies the primary industry associated with the client's accounts. This classification is used as the default classification for all accounts placed by the client and may affect reporting, workflows, credit reporting processes, and other classification-dependent functionality.

Collection Type

Collection type associated with the client.

Portfolio Type

Portfolio category associated with the client.

ECOA Override

ECOA classification override.

Last Assignment Date

Most recent assignment date.

Invoice Last Run Date

Date invoices were last generated.

Past Due Balance

Outstanding invoice balance owed by the client.

Aging

Displays aging totals for Current, 30, 60, 90, 120, and greater than 120 days.

Client Classification

Client Classification identifies the industry associated with a client's accounts and may be used for reporting, workflows, and compliance-related processes.

Please Note

Client Classification serves as the default classification for accounts associated with the client.

Classifications can also be assigned at the account level. When an Account Classification is assigned, it overrides the Client Classification for that account. If no Account Classification is assigned, ACE uses the Client Classification.

This allows a single client to place multiple types of accounts without requiring separate client records for each classification.

Invoice Profiles

  1. Locate the Invoice Profiles section.

  2. Click Add Profile.

Invoice Profiles must be created before they can be added here. See Creating Invoice Profiles for instructions.

Contact Information

Client Profiles allow you to maintain multiple contact types for a client, including Primary, Secondary, Owner, Billing, Dispute, Accounting, Legal, and IT contacts.

Contact Types

Primary Contact

Main contact for the client.

Secondary Contact

Secondary contact for the client.

Owner Contact

Client owner or executive contact.

Billing Contact

Contact responsible for billing matters.

Dispute Contact

Contact responsible for disputes and consumer complaints.

Accounting Contact

Contact responsible for accounting-related matters.

Legal Contact

Contact responsible for legal matters.

IT Contact

Technical contact for system integrations and support.

Contact Fields

Each contact section contains the following fields:

Title

Contact title or position.

Name

Contact's first name, middle initial, and last name.

Phone Number

Primary phone number.

Mobile Number

Mobile phone number.

Fax Number

Fax number.

Email Address

Contact email address.

Calculate Interest

  1. Locate the Calculate Interest section.

  2. Configure the default interest settings for the client.

Calculate Interest Fields

Field

Description

Default Interest Rate

Default interest percentage applied to accounts.

Balance Types

Select which balances accrue interest, including Principal, Fee, Court Cost, Attorney Fee, Legal, NSF, Service Fee, and Miscellaneous balances.

Settlement / Payment

  1. Locate the Settlement / Payment section.

  2. Configure settlement and payment plan settings as needed.

Exclude From Online Payments

Prevents online payments for this client.

Exclude Payment Fees

Excludes payment fees from transactions.

Allows Settlement

Allows settlement offers on accounts.

Settlement Buckets

Buckets used when calculating settlement offers.

Min Settlement

Minimum settlement percentage allowed.

Min Settlement Amount

Minimum dollar amount accepted for settlements.

Min Settlement Amount Down

Required down payment percentage.

Max Number of Days of Payment Plan

Maximum payment plan duration.

Max Number of Days of Settlement Payment Plan

Maximum settlement payment plan duration.

Max Number Of Payments

Maximum number of payment installments allowed.

Max Number Of Payments Settlement

Maximum number of settlement installments allowed.

Min Payment Amount

Minimum payment amount accepted.

Max Days Out Plan Start Date

Maximum future start date allowed for a payment plan.

Transaction Spreader

Determines how payments are distributed across balances.

Judgment Spreader

Determines how judgment payments are distributed across balances.

Invoice Preferences

Configure invoice generation, delivery, and remittance settings for the client.

Invoice Preference Fields

Field

Description

Payable To

Payee name displayed on invoices.

Generate Empty Invoices

Generates invoices even when no activity exists.

Generate Empty Invoices Past Due

Generates past due invoices without activity.

Manual Invoice Delivery

Requires invoices to be manually delivered.

Auto Verify, Remit & Deliver

Automatically verifies, remits, and delivers invoices.

Invoice Delivery Email

Primary invoice delivery email address.

Invoice Delivery Emails

Additional invoice delivery email addresses.

Attach Report to Delivery

Includes reports with invoice deliveries.

Trust Account

Trust account associated with the client.

Remit Transfer Method

Method used to remit funds.

Remit Terms

Terms governing remittance schedules.

Remit Route Number

Routing number used for remittance.

Remit Account Number

Account number used for remittance.

Client Charge Buckets

Defines charge buckets billed to the client. Use with caution.

Reporting Preferences

Configure reporting options available to the client.

Date reporting statistics were last refreshed.

Report Delivery Emails

Email recipients for report delivery.

Report Email Failure

Email address used for report delivery failures.

Automatically opts consumers into text messaging.

Email Auto Opt In

Automatically opts consumers into email communications.

SOL Account Type

Statute of limitations account type.

SOL State

State used for statute of limitations calculations.

Obey Compliance Rules

Applies compliance rules configured in ACE.

Notes

General client notes.

Important Notes

High-priority client notes.

Account Add Note

Note automatically added to newly loaded accounts.

Caller ID

Caller ID associated with the client.

Salesperson Commission

Sales commission settings.

Client Goals

Collection goals associated with the client.

  1. Review the available preference settings.

  2. Configure the settings that apply to your client.

  3. Click Save.
