ACE provides permissions and Letter Profile settings that can be used to control which letter functions users can access.
Control Access to Account and Scheduled Letters
Account letter access and Workflow Scheduled Letter access can be managed independently using Permission Roles.
Permissions | Controls Access To |
|---|---|
ACCOUNT_LETTERS_VIEW | Viewing Account and bundle letter history |
ACCOUNT_LETTERS_NEW | Creating Account letters |
ACCOUNT_LETTERS_SAVE | Updating Account letters |
ACCOUNT_LETTERS_DELETE | Deleting or cancelling Account letters |
SCHEDULED_LETTERS_VIEW | Viewing Workflow Scheduled Letters |
SCHEDULED_LETTERS_NEW | Creating Workflow Scheduled Letters |
SCHEDULED_LETTERS_SAVE | Updating Workflow Scheduled Letters |
SCHEDULED_LETTERS_DELETE | Deleting or cancelling Workflow Scheduled Letters |
The ACCOUNT_LETTERS permissions control letter access from the Account and bundle letter history. The SCHEDULED_LETTERS permissions control Workflow → Scheduled Letters - Account and Workflow → Scheduled Letters - Legal Case.
This allows, for example, a user to have access to Account → View Letters without also having access to the Scheduled Letters queues under Workflow.
Note
Existing Scheduled Letters permission assignments are copied to the corresponding Account Letters permissions when this update is deployed, preserving existing access until Permission Roles are changed.
For information about configuring Permission Roles, see Finding Permissions and Permission Roles in ACE.
Restrict Access to a Letter Profile
You can further restrict who can send or edit a specific Letter Profile using the Send Role ID and Edit Role ID settings.
Go to Setup → Letters → Profile.
Select New or open an existing Letter Profile.
Configure the applicable Permission Roles:
Send Role ID: Controls who can send the letter.
Edit Role ID: Controls who can edit the letter.
Select Save.
Only users with the applicable Permission Role can perform the restricted action.
For information about configuring Permission Roles, see Finding Permissions and Permission Roles in ACE.
Caution
Changes to Permission Roles can affect user access throughout ACE. Contact Support if assistance is needed when modifying roles.
