Send Balanced Campaign functionality allows agencies to automate a strategic sequence of emails and text messages—much like a letter series—ensuring consistent and controlled outreach over time.

Please Note:

This example demonstrates how to use ACE to configure a balanced series of both text messages and emails. The same tools and workflow structure can be applied to either or both communication channels, depending on your agency’s strategy.

Always consult your legal or compliance team to ensure that your message series complies with all applicable regulations, including TCPA and other relevant laws governing electronic communications.

Overview of the Setup Process

To configure a balanced email and text series, follow these five steps:

  1. Create Email and Text Profiles

  2. Build a Logic Block to identify eligible accounts

  3. Create Action Paths using “Send Balanced Campaign” flow actions

  4. Set up Jobs to automate the series

1. Create Email and Text Message Profiles

Begin by creating the individual message templates that will be rotated in your campaign. These are stored as separate profiles—for example:

  • TEXT_SERIES_1 through TEXT_SERIES_6

  • EMAIL_SERIES_1 through EMAIL_SERIES_6

Each template in the series should contain slightly different content to keep the campaign engaging and compliant.

Why vary the messages?

  • Avoid Message Fatigue: Repeating the same message can cause consumers to ignore or block future communications.

  • Boost Engagement: Trying different tones, subject lines, or calls to action can help identify what resonates best with your audience.

  • Support Compliance: Overusing the same language may be flagged by carriers or regulators as spam or automated abuse.

Tips for Variation

  • Change the subject line or first sentence.

  • Highlight different benefits—e.g., ease of online access, avoiding fees, setting up payment plans.

  • Alternate between inviting conversation (“Call us”) and encouraging self-service (“Click here to log in”).

  • Use a variety of tones—empathetic, informative, or action-oriented.

  • Body: Personalized using merge fields like ${primaryDemographic.firstName} and ${client.clientAccountNumber}.

  • CTA: Links to access the virtual agent login or initiate a phone call.

  • Short, clear, and direct

  • Each message includes opt-out compliance: "Reply HELP for help, STOP to opt out."

2. Create a Logic Block

Set conditions to determine which accounts are eligible to enter the campaign. For example:

  • Current Balance: Between $200–$7,999.99

  • Assigned Age: Between 1–270 days

Label this block clearly, such as Balanced Text & Email Series, to use in later job configurations.

3. Configure Action Paths

Create two separate Action Paths—one for emails and one for texts—to control how messages are sent through the campaign.

Setup Steps:

  • Go to Setup → Workflow → Action Paths, then click New.

  • Enter a clear label (e.g., BalancedTextSeries) and a short description.

  • Right-click the container and select Edit.

  • Click New to add a Flow Action:

    • Use Send Balanced Campaign Texts for texts

    • Use Send Balanced Campaign Emails for emails

  • Attach the corresponding message templates (e.g., TEXT_SERIES_1–6).

  • Click Save.

How Balanced Campaign Flow Actions Work

Each time a job or trigger runs:

  • One message is sent per account, selected in round robin order.

  • The message sent the least is chosen next.

  • If multiple messages have been sent equally, the next is selected at random.

  • If a send limit is set and reached, messaging stops.

  • If no limit is set, the rotation continues indefinitely.

Tip: One Flow Action per Action Path

To avoid duplicate sends or compliance issues, only include one balanced flow action in each Action Path.

If you’re sending both emails and texts, use separate Action Paths for each.

4. Automate with Jobs

Create two separate jobs—one for emails and one for texts—to automate the delivery of your balanced campaign messages.

Email Job

  • Job Name: e.g., Send Balanced Email Series

  • Logic Block: Use the same logic block created earlier (e.g., Balanced Text & Email Series)

  • Action Path: Select the email-specific Action Path (e.g., BalancedEmailSeries)

Text Job

  • Job Name: e.g., Send Balanced Text Series

  • Logic Block: Same as email

  • Action Path: Select the text-specific Action Path (e.g., BalancedTextSeries)

  • Each job sends one message per account when it runs, based on the round-robin flow action logic defined in the Action Path.

Jobs can be scheduled or triggered as needed to align with your outreach strategy.
